ClearRegs Projects records the requirements, responsibilities, decisions and supporting evidence entered by the project team. This can help demonstrate the structured processes used by the Principal Designer and provide a traceable account of what was recorded, by whom and when.

The record supports the Principal Designer’s work. It does not determine that a statutory duty has been discharged or that a design complies with the Building Regulations.

Duty 01

Plan, manage and monitor the design work

Organise the requirements identified for the project by RIBA stage, assign actions and track their progress as the design develops.

ClearRegs maintains a timestamped history of recorded statuses and changes. RIBA stages provide a project management structure; they are not statutory compliance deadlines.

Duty 02

Coordinate designers and design interfaces

Assign each register item to a named member of the project team and record the design information and evidence connected with it.

This helps make task ownership and outstanding actions visible across the design team. Assigning an item in ClearRegs does not appoint a statutory dutyholder or replace the Principal Designer’s responsibility to coordinate the designers.

Duty 03

Review designs against relevant requirements

Link requirements to drawings, specifications, design decisions and other supporting evidence. Relevant passages from indexed regulatory sources can be attached to the project record so that the basis of a decision can be reviewed in context.

A citation supports traceability; it does not by itself establish that the design complies.

Duty 04

Cooperate with the Principal Contractor

Maintain a shared record of design requirements, decisions, revisions and outstanding information for discussion with the Principal Contractor. The register and exported schedule can support information exchange, review and project handover.

They do not replace the health and safety file required under CDM 2015 or any prescribed higher-risk building information.

Duty 05

Support higher-risk building processes

For higher-risk building work, organise register items against the BSR building control approval and completion stages commonly called Gateways Two and Three. The project record can support the management of design information, changes and evidence associated with those stages.

ClearRegs does not operate the statutory golden thread or mandatory occurrence reporting system, and it does not prepare, submit or approve Gateway applications.

Duty 06

Support evidence of competence and organisational capability

A timestamped project record can help demonstrate that structured arrangements were used to manage design compliance, allocate responsibilities and retain supporting information. This may contribute to evidence of organisational capability and a diligent approach.

Competence must still be established separately through the relevant skills, knowledge, experience and behaviours, or, for an organisation, its policies, procedures, systems and resources.
